How to record your Auto Attendant greetings
Auto Attendant greetings can be used to greet callers, provide call prompt options and give information such as hours of operation and fax numbers. You can have different greetings for daytime and after hours.
Within the main Auto Attendant greeting, you can include options such as “to hear our hours of operation press *” or “for our location and fax information, press 6.” You’ll need to record each of these messages.
Before you record, you should:
- Draft your script
- Plan your call prompt menu
- The prompts can be numbers (0–9), the asterisk (*) or the pound sign (#).
- The actions can be any of the following:
- Transfer to another number
- Play an announcement
- Transfer to a mailbox
- Dial a name or extension
By recording your greeting in advance, you can reduce the setup time on the day of the installation.
To record your greeting, you need a recording application on either your computer or mobile device that allows you to save an audio clip as a .wav, MP3 or MP4 file. Once the recording is saved to your desktop, you can then upload it to your admin portal using the Announcement Manager.

You can use the Voicemail to Email to record your Auto Attendant greetings. This feature sends voicemails to an email address of your choice as a .wav audio file which can easily be saved to your desktop.
To record greetings using Voicemail to Email
If you haven’t already done so, enable Voicemail to Email in the admin portal.- Call your business number from another line and leave as a voicemail what you want your greeting to say.
- When you receive the email, save the attached audio file to your desktop.
- Upload your recording using the Announcement Manager. You can then use it for Auto Attendant.
To enable Voicemail to Email
If you haven’t already done so, first set up your standard voicemail.
- Log in to the Bell Total Connect admin portal.
- Click edit next to the phone number on which you set up your voicemail.
- At the top of the page click Call Management.
- In the grey banner, click Voicemail settings.
- On the left side, click Manage Voicemail
- Enable Voicemail to Email and enter the email address where you want to receive your messages.
Note: If using a custom domain, you may need to ask your registrar to change your security settings in order to receive these emails.
